Description

Create a tool for sending an email via Outlook.

Steps

1
Create a "Send Email" Tool.
2
On the Tools page, click “New”.
3
Then, click on "Create Tool".
4
Give your tool a name, e.g. “Send email (Outlook)”.
5
Video step
6
Click on the element.
7
Video step
8
Give your tool an emoji or custom image, in this case we'll use the Calendar emoji.
9
Under “Tool Steps”, click on “Add step”.
10
Click on the “Send Outlook email” tool step.
11
Click on the “Microsoft Account” dropdown and select your email account (or add it via the “Add account” button).
12
Scroll up to “User inputs”, and click on the “Text list” input.
13
Call the input “Recipient Email Addresses”.
14
Video step
15
Give it the description “List of recipient email addresses”.
16
Video step
17
Enter your email as a default recipient test example. You'll be able to tell the agent which recipients to send the email tool as well instead of this if you want.
18
Click on the little settings cog under the recipient email address input.
19
Click on "Set current value" to set it as the default value (so you don't have to re-enter it every time you want to test).
20
Give the input a more descriptive variable name.
21
Video step
22
Add a "Text input" next.
23
Call it "Subject line".
24
Video step
25
Give it the description “Email subject line”.
26
Video step
27
Give it a default email subject line (set it as default like you did for the other input via the little cog). Give it a descriptive variable name too.
28
Next, let's add a "Long text input".
29
Give it the name "Email body".
30
Video step
31
Give it the description “Message to send as email body”.
32
Video step
33
Write a test email body. You'll be able tell your agent what you want it to send instead later. Set it as default via the little cog, and give it a descriptive variable name like we did earlier.
34
Scroll down to the Send Outlook email tool step, and click the curly braces next to the "To email" field.
35
Click on the "To email" field.
36
Select the "recipient_emails" input we created earlier.
37
Do the same thing for "Email subject".
38
Do the same thing for email body.
39
Save your tool by clicking on the "Save" button in the top-right corner.
